Terms and Conditions

These terms and conditions are applicable to all customers using the Flight Sim Centre and the Virtual Reality’s Centre’s facilities and services. Please read and understand them carefully before purchasing a flight / voucher / making a booking or redeeming a pre- purchased voucher or booking our simulators for an event. If you have made a purchase (This includes 3rd party vouchers) you and the voucher recipient are bound by these terms and conditions.

Flight Sim Centre reserves the right to change the terms and conditions without notice and changes are effective immediately.

No food/drink or animals are allowed inside the Sim Centre. (Guide Dogs are accepted)

Our flight simulators are very expensive and complex pieces of machinery and we reserve the right to restrict, refuse access or eject anyone whom we feel are abusing or are not displaying the appropriate respect to the simulators / staff / company, or are under the influence of alcohol or drugs, in this case no refund will be offered and any damage will be billed for. NOTE: we expect parents and/or guardians to take responsibility for their children at all times.

Vouchers

One voucher per person / per simulator unless otherwise stated, voucher times cannot be shared and are valid for the named person booked in only. If you are purchasing a voucher on behalf of someone else, i.e. a gift voucher, please make them aware of the voucher valid until date and the information contained in these Terms & Conditions. Please book your experience in using the website: www.flightsimcentre.com as soon as possible, as experiences need to be booked and completed before the expiry date. The beginning and end period of a voucher’s validity is always the busiest, especially between January – May. We advise customers to book well in advance to avoid disappointment. All bookings are on a first come, first served basis.

We may restrict the number of bookings on each day so please book early if you want a specific date or contact us before you purchase. Appointments cannot be held by our staff. Responsibility lies with the voucher holder to complete the booking in process online.

All vouchers and bookings are subject to availability & serviceability, book early to avoid disappointment or invalidating your voucher.

If you purchase a voucher as a gift you must ensure that the recipient receives these terms and conditions, the experience must be booked and taken as soon as possible and before the valid until end date. Note: We sell Vouchers and Gift experiences not specific dates or names of who can attend.

If you have purchased a 3rd party voucher and not from the Flight Sim Centre direct (Remember we always price match with no restrictions or surcharges!) then please be aware the voucher valid date could be different to our own and may carry a per person surcharge for weekends / bank holidays or after hours, any issues will need to be taken up with the 3rd party company directly as we have no control over externally purchased vouchers.

If your voucher is due to expire and you/we are unable to find a suitable date before the expiry date we will do our best to accommodate you but reserve the right to void or extend your voucher expiry date for a further 2 months for a fee of £10. Customers wishing to do this must notify us in writing via email before the original voucher’s expiry date. If you book for a date after your voucher expiry date then we reserve the right to automatically extend the voucher for you and the £10 surcharge will be payable when you arrive.

All vouchers from the Flight Sim Centre are non-refundable and will be dispatched via email in the form of a “Gift Voucher”; if you order last minute or require a voucher to be posted out please contact us via email, this is available at an extra cost of £10.00 and will be sent by Royal Mail Second Class Post and usually posted the same day if ordered before 2 pm. Please allow extra time during periods of high postal demand (e.g. Pre-Christmas).

All Flight Sim Centre vouchers have a 14 day cooling off period after the purchase date. If a specific date or time is required please check online before purchasing to check availability. Vouchers are not exchangeable for cash or valid with any other offers.

Not to be used in conjunction with any other voucher or offer and is subject to availability. Offers may be withdrawn without prior notice. Any refunds will be the full amount minus a £20 administration per transaction fee.

The Management Team’s decision is final and binding in all matters.

Appointments

Once you have purchased a voucher, appointments can be arranged by using our live 6 month rolling calendar via the following link https://www.flightsimcentre.com/book-experience Please arrive no sooner than 5 minutes before your allocated slot time, if you are late then the time slot will be reduced to finish on your allotted time, under these circumstances no refund or extra time is offered. If you are 15 minutes late you will be deemed to have missed your time slot, a £20 rebooking fee will be applicable.

Directions to the centre are available on our website and are included with our vouchers. It is the responsibility of the person booked in to navigate to the centre and arrive on time.

On arrival Vouchers must be readily available either printed or shown on a mobile device for redemption to avoid disappointment and delays.

The session starts with a meet and greet from the instructor which is normally followed by a short brief, there will be a short amount of time at the end of the experience to take photos.

You can upgrade your voucher (to another experience or longer session) at any time by paying the relevant current price difference. Contact us via email if you would like to upgrade.

Please see our “How to find us” on our website for directions as it is your responsibility to find us and arrive on time.

Cancellation / Re-booking

Please notify us of changes as early as possible. If you miss your experience it is not refundable and there will be a re-booking fee of £20.00 per voucher. At times of high capacity (Jan to May / weekends / school holidays) advance booking is strongly advised.

Once you have a booking you are required to give more than 48 hours’ notice if you wish to change the booking, this can be arranged for an administration fee of £10.00. If less than 48 hours’ notice is given, your experience can be re-booked for a fee of £20.00, if a re-booking is refused no refund is offered. (Fees cover Instructors time, empty slots and extra administration required)

Prices

Prices displayed on our website will be correct and will be the valid prices at the time of purchasing. Prices advertised in leaflets and magazines may differ to prices on our website depending upon the date of the publication. Flight Sim Centre reserve the right to run special offers and discounts from time to time.

Serviceability

On occasions, if the simulators are unserviceable, or we need to complete maintenance or circumstances arise beyond our control; we may need to move your booking to a mutual alternative time and/or date. We may also offer you a replacement flight in another simulator (equivalent value or better) if convenient and accepted instead of the original booking. In this case there is no refund or administrative charge payable and the original voucher will be classed as redeemed. We will give you as much notice of any change as we can but it must be understood that problems with any device can occur without warning as they are complex machines. If you refuse a re-booking then no refund is due and no other expenses are payable in these circumstances.

The total liability for any claim whatsoever in connection with a simulator session shall be limited to the amount the Flight Sim Centre receives.

Medical

All participants take part at their own risk. Please inform us of any conditions or medical issues that you feel may be relevant.

If booking the 4D Car Racing or Virtual Reality experience and using the Oculus Rift or HTC Vive headset we strongly recommend you look at Oculus “Best Practices” Please Note: VR may not be suitable for those who wear glasses or have mobility issues or suffer from motion sickness, in these cases no refund is offered.

Motion sickness – People who generally aren’t susceptible to motion sickness in cars and boats will be fine in our simulators and experiences however please bear this in mind when booking as no refunds can be offered nor can the voucher be used by another person unless a name change is paid for. Please consult your doctor before using the product if you have any queries.

Religious Headwear

Religious headwear users i.e. a Turban, may not be suitable for use with Virtual Reality, if in doubt please contact us before purchasing a voucher – No refunds are available in these cases.

Disabled Access / Accessibility

The Flight Sim Centre is easily accessed by disabled people. All our simulators involve a degree of physical mobility to access the cockpits and/or confined space.

Check with us prior to purchase if you have any concerns about simulator access as vouchers cannot be refunded. The Spitfire / Messerschmitt Bf 109 and Fighter Jet simulators are full real size cockpits and may not be suitable for the less mobile or under 12s.

Age Restriction

Any age can experience our flight simulators / experiences from the very young to the more mature. Children under 18 years MUST be accompanied by an adult who is responsible for their behaviour, and is required to remain on-site in the Centre for the duration. (No purchase is required to attend). The instructor has the right to refuse entry or eject anyone who is unruly or causing damage to the simulator, under these circumstances no refunds will be available and damage will be chargeable.

The recommended height / age for the Spitfire / Messerschmitt Bf 109 / Fighter Jet / Car Simulator is 140cm / 12 years

Guests

All participants under normal circumstances are permitted to bring guests who are welcome to wait in the waiting area. Children under the age of 18 should be supervised by a non- partaking adult. There are no additional charges for guests.

Pandemics / Government Guidelines

In the unlikely event of a pandemic we will follow local and national government guidelines which could include “Social Distancing” and other measures as required for you and our Instructors’ health and safety. Additional information will be provided on our website and when booking in during these events. All vouchers are non-refundable but will be automatically extended at no extra charge.

Hiring Flight Sim Centre’s exhibits for public or private events

1. What Flight Sim Centre will provide for your event:

  • The exhibit(s) as agreed and booked by the event
  • At least one Flight Sim Centre representative
  • Health & Safety and Risk Assessment of our exhibit
  • Public Liability insurance cover
  • Publicity of your public event once booked

2. What Flight Sim Centre require of the event organiser:

  • The exact location of your event including Post Code and any special access instructions, and the days and dates you require our exhibit(s).
  • Easy access for Flight Sim Centre staff and exhibit(s) to the location. Our trailer is 8ft x 6ft. Total area required for exhibit(s) is 10ft x 10ft.
  • The responsibility for locating our exhibit(s) appropriately at the event lies with the event organiser.
  • Following their choice of location, it is their responsibility to ensure conditions are suitable for unloading and loading.
  • If adverse weather conditions effect our exhibit(s) we may need to suspend operations or ultimately shut down for public safety reasons.
  • 240 Volts mains (We can supply a generator if necessary)
  • Overnight security of the exhibit (if necessary) is the responsibility of the event organiser.

3. Payment and Costs:

Flight Sim Centre requires payment in full at time of booking. Should the event be cancelled or Flight Sim Centre not required or we can’t attend the rescheduled date this payment is non-refundable.

Flight Sim Centre will make every endeavour to attend a booked event, however if circumstances arise beyond our control such as adverse weather conditions or mechanical breakdown, and we cannot safely transport our exhibit, then payment will be reimbursed.

Our total cost quoted covers travelling expenses to and from the event; accommodation if necessary; storage costs; Health & Safety and Risk assessments; Public Liability Insurance up to £5 million; and other associated overheads.

Liability Waiver

1. The Flight Sim Centre (Also known as the Virtual Reality Centre), as the supplier of Flight simulation experience’s and virtual reality simulation services, sells all vouchers and supplies all simulation services and facilities to you (the customer) including, but not limited to gaming, simulation walk through, training exercises, use of motion capture and tracking technology, use of wearable computing technology, use of wireless controllers, use of haptic feedback technology, use of head mounted virtual reality displays, equipment rental and maintenance, use of tracking spaces and the presence of people and objects therein, the surrounding areas and any other associated activities , hereby known as the simulation activities in the Flight Sim Centre venue subject to the following conditions:

1.1. By purchasing a voucher for or by using any of the facilities at the Flight Sim Centre venue, the customer agrees to be bound by these conditions.

1.2. Flight Sim Centre, its employees, directors and agents are not liable to the customer, your dependants or legal representatives for personal injury or death suffered by the customer because the simulation activities were not supplied with due care and skill or were not reasonably fit for their purpose or because of the negligence, breach of contract, statute or statutory duty by Flight Sim Centre.

1.3. The customer acknowledges that the simulation activities carry an inherent risk and hazards and as a consequence personal injury and sometimes death can occur and the customer assumes and accepts all such risks and hereby waives the right to sue Flight Sim Centre for any personal injury or death in any way whatsoever caused by or relating to the customer’s participation in such activities.

1.4. RISK WARNING: The use of tracking spaces, head mounted virtual reality displays, or any other equipment and technology at the Flight Sim Centre venue involves a significant risk of Customers suffering personal injury including the possibility of serious injuries, permanent disability or death. All Customers who engage in such simulation activities do so at their own risk.

1.5. NOTE: The change to your rights, as set out in this form, does not apply if your death or injury is due to gross negligence on the supplier’s part. Gross negligence, in relation to an act or omission, means doing the act or omitting to do an act with reckless disregard, with or without consciousness, for the consequences of the act or omission.

1.6. The customer agrees to pay the cost of and authorises Flight Sim Centre to take all steps it considers reasonably necessary to protect his/her welfare in the event of personal injury.

1.7. Customers less than 18 years of age must be accompanied by a responsible adult to use the facilities at the Flight Sim Centre venue. Where you are accompanying such children you agree to be bound by these conditions on their behalf.

1.8. Customers agree they are in good health and free from any adverse medical conditions. For safety reasons, pregnant women, customers with pre-existing health issues or wearing casts are not permitted to use tracking spaces, head mounted virtual reality displays. If in doubt, please seek medical advice.

1.9. While in the Flight Sim Centre venue you consent to images and video being taken for security or promotional purposes of yourself, your children or of children for whom you are responsible.

1.10. The Customer and all guests must comply with all signs or other directions of the Flight Sim Centre or its staff and it may suspend or cancel the customer’s and a participant’s access to simulation activities at the Flight Sim Centre venue in its absolute discretion for non-compliance with these conditions, or for reckless or careless conduct.

1.11. If you purchase a voucher for the use of the tracking spaces, head mounted virtual reality displays, or any other equipment or facilities at the Flight Sim Centre venue on behalf of another person, you and that other person both agree that you make that purchase as the authorised agent of that other person so that he/she will be bound by these conditions.
